Datapac is a leader in retail IT for gas stations in Central and Eastern Europe.
Its flagship product is POSYBE – a comprehensive retail management system
including POS solutions, which connects all key processes from sales to
management into one integrated ecosystem.

 


A quiet player whose technology is used by almost everyone

POSYBE has undergone years of development, reflecting the evolution of the entire segment - it was created at a time when UX as a discipline was not yet a standard part of development. However, with the gradual growth and expansion of functionalities, complexity increased, requiring a more systematic approach to the design of cash register systems.

The gas station segment is specific and demanding - it involves continuous operation, where speed and flawless service are critical. At the same time, it is an environment with high staff turnover, which emphasizes minimal training requirements, intuitiveness, and reliability in working with the cash register.

Datapac needed a partner who would transfer its technical expertise directly to the screens of POS devices - in one design language, ready for localization and the daily work of the staff.

Designing for touch and speed

Our strategy was anchored in data on service movement and multi-market adaptation requirements. We focused on three key pillars that eliminated friction between development and the end user.

UX Governance: One Language for a Global Product

The stumbling block was that the design was created  ad-hoc  - without a unified system. The result was inconsistent interfaces that slowed down development, complicated the onboarding of new people, and hindered expansion into new markets.

We introduced a  modular design system that serves as the central authority for UI/UX. It ensures functional and visual consistency across all devices - from fixed POS terminals to mobile devices and self-service kiosks - and across all markets.

Putting the User First: Optimization for Touch

The critical challenge lay in designing for a  touch-first environment  - where mouse control rules do not apply. Every millimeter and every gesture had to be optimized for speed and minimal operational error.

With thousands of transactions daily, even a second saved at the checkout has real value - for the customer who doesn't wait in line, and for the operator who doesn't face frustration from repeated interface errors.

A Sales Screen That Guides the Operator

We redesigned critical processes - working with the cart, quick selection buttons, and dispenser (fuel pump) statuses. Each status has a clear visual signal, so the operator immediately sees whether the pump is open, stopped, authorized, or in error.


Forms That Forgive Mistakes

A specific feature of the POS environment is that the operator often enters data under time pressure. Therefore, the form states (resting / focused / error / disabled / success) are  visually prominent  and error messages are formulated specifically - not generic  “error”, but for example  “the registration number already has an e-vignette for the selected period”.

Future Development Map: Ready for Growth Across Markets

Thanks to established patterns and design systems, we can build new features and entire modules faster, more cost-effectively, and without the risk of breaking consistency in existing screens. Every new market and every new use case is built on the same foundations - instead of rewriting half of the product, we just assemble proven components into new logic.

In recent times, we have jointly designed and brought to production a range of features, such as:

Mobile Operator Credit Top-Up 

Provider selection, amount, custom value. Each operator has its own logic and brand, but the operation works with the same pattern.


Highway Toll Sales

Vehicle categories, validity lengths, scanning or entering identification numbers, modification, and cancellation - all in one screen without switching between tools.

Transaction Parking

The ability to temporarily pause an ongoing purchase (customer forgot their wallet, goes to the car for something, still shopping) and return to it later. High-risk items are visually marked so that the staff does not lose sight of them.


Farmer Identification in Slovenia

The Slovenian market brought a specific requirement - the sale of heating oil at a discounted price for registered farmers, whose identity needs to be verified directly at the checkout and then unlock a specific dispensing stand.


And other modules that solve dozens of everyday situations in real operation - from the status of the car wash to local components per market.
